Assistant Event Producer

Job Description – Assistant Events Producer at Maker Heights

30 days between 20 May – 10 October, approx. one day per week plus event weekends. 

This is an on-site role working closely with a range of creative people and businesses at Maker Heights, offered on a freelance basis. Contract fee: £2,800.

  • Assist in coordinating site-wide events across Maker Heights to include Open Studios (1-2 June), Wellbeing Festival (20-21 July), Heritage Open Days (14-15 Sept) and Film Festival  (4-6 Oct).
  • Liaise with on-site creative businesses on event scheduling , spaces and capacity.
  • Collate and produce each event schedule (4 main event weekends).
  • Assist with booking practitioners, artists, film-makers, workshops leaders and speakers, making sure they have all the information they need and being the main point of contact for coordination.
  • Collate copy, images and ticketing information for each event programme.
  • Liaise closely with our social media manager for online event promotion, providing timely event listings information.
  • Coordinate production and distribution of programmes and posters in the locality.
  • Assist in managing on-site event logistics, across multiple locations, at each event weekend (1-2 June, 20-21 July, 14-15 Sept and 4-6 Oct)
  • Assist in event take-down, evaluation and follow up communications.
  • Assist in risk assessments, health & safety and safeguarding measures for each event.

Required Skills and Experience:

  • Meticulous organisational skills, with focussed attention to detail.
  • Some prior event or project management experience.
  • Excellent spreadsheet/digital skills for contact management.
  • Ability to manage complex information flows, high volumes of email/messaging, and multitasking ability.
  • Excellent communication and people-management skills
  • Energy and drive.

Desirable Skills and Experience:

  • Organising festivals or other complex events with many moving parts.
  • Event promotion – online, in print, or both.
  • Have experience in Wellbeing, Film, Heritage or Art contexts.
  • Experience in risk assessments and safeguarding.
  • Own transport
